1. Return Policy Overview
We want you to be completely satisfied with your purchase. DeskCodes accepts returns within 30 days of delivery for eligible products in accordance with safety regulations and EPA requirements.
Important Safety Notice
Due to federal safety regulations, opened refrigerant cylinders cannot be returned. This policy protects both our customers and staff from potential contamination and safety hazards.
2. Returnable Items
✅ Items We Can Accept for Return:
- Unopened refrigerant cylinders with intact seals
- Unused tools and equipment in original packaging
- Products with manufacturer defects
- Items shipped in error by DeskCodes
- Damaged products received during shipping
❌ Items We Cannot Accept for Return:
- Opened or used refrigerant cylinders
- Products with broken or missing safety seals
- Items damaged by customer misuse
- Products older than 30 days from delivery
- Custom or special-order items

Easy 4-Step Return Process
Contact Customer Service
Call +1 206-408-6213 or email contact@deskcodes.com within 30 days of delivery. Provide your order number and reason for return.
Receive Return Authorization
We'll provide a Return Merchandise Authorization (RMA) number and detailed return instructions including shipping labels if applicable.
Package and Ship
Pack items securely in original packaging with RMA number clearly marked. Ship using provided instructions and hazmat requirements.
Receive Refund
Once we receive and inspect your return, we'll process your refund within 5-7 business days to your original payment method.
4. Refund Information
Refund Timeline
- Inspection: 1-2 business days after receipt
- Processing: 5-7 business days
- Credit card refunds: 3-5 business days to appear
- Bank transfers: 7-10 business days
Refund Amount
Approved returns receive a full refund of the product purchase price. Original shipping charges are non-refundable unless the return is due to our error.
Full Refund Guarantee
Returns due to our error (wrong item, defective product, shipping damage) include full refund of product cost plus original shipping charges. We also provide prepaid return labels.
5. Exchanges
We offer exchanges for defective products or shipping errors. Contact customer service to arrange an exchange.
Exchange Process
- Contact us within 30 days of delivery
- Describe the issue and preferred replacement
- We'll send the replacement and provide return instructions
- Return the original item using provided RMA number
6. Shipping Costs
Customer-Initiated Returns
Customers are responsible for return shipping costs unless the return is due to our error. Due to hazmat regulations, returns must use ground shipping.
Our Error Returns
DeskCodes covers all shipping costs for returns due to:
- Wrong item shipped
- Defective or damaged products
- Order processing errors
7. Defective Products
If you receive a defective product, contact us immediately. We'll arrange for replacement or full refund including shipping costs.
What Qualifies as Defective
- Cylinder leaks or valve malfunctions
- Contaminated or impure refrigerant
- Incorrect product labeling
- Manufacturing defects
8. International Returns
International customers are responsible for return shipping costs and customs duties. Contact customer service for specific return procedures and authorized shipping methods.
9. Damaged in Transit
If your order arrives damaged, refuse delivery if possible and contact us immediately. For accepted damaged shipments, report damage within 24 hours with photos for fastest resolution.
